PENTWATER HISTORICAL SOCIETY

MINUTES OF THE EXECUTIVE BOARD MEETING

January 9, 2008

Called to order by President Jim Ege at 1:05 PM in the Village Hall Council Chambers.

Roll Call

Present: Lindstrom, Bigelow, Childers, Carlin, Ege, O’Donnell

Absent: Roger Bailey

Guests: Gay Birchard, Nancy Grant, Karen Way

Minutes

The December 5, 2007 Executive Board Minutes were motioned by Ed Bigelow and second by Bob Childers to accept as presented and unanimously approved.

Treasurer’s Report

Treasurer Ken Lindstrom reported as of 12-31-07 total assets of $69,120.22, total income of $3,881.10 and total expenses of $412.81 with an overall total balance of $3,468.29 through this period. The total number of society members is 226 which is + 1 from last year. Motion by Bill O’Donnell and seconded by Ed Bigelow to accept the Treasurer’s report as presented . Motion unanimously accepted.

Project / Task Status

1. Preserve America Committee - Jim Ege informed there has been no current action by the Village of Pentwater and this item will be removed from the current project status. 2. Information Booth - Jim Ege advised that Mr. Jack Witt has accepted the draft letter prepared to arrange for process and ownership terms for acquiring the Information Booth. To facilitate board approval for ownership of the building, the following actions are to be reviewed at the February 6th meeting: Ken Lindstrom will solicit potential annual insurance cost for the building. Jim Ege and Ed Bigelow will develop a cost estimate for the items indicated in condition 1. of the draft letter to Mr. Witt. Ed Bigelow will prepare a formal letter to the Village of Pentwater requesting approval of a future site location for the building. Jim Ege will request the requirements from the State of Michigan Historical Society that would enable the potential for requesting grant funding to restore the building.

3. Newsletter Committee Members - Bill O’Donnell reported that the committee has a due date of February 1st for general articles they will include in the winter edition. Feature articles will again be about the local Pentwater area Gas Stations accompanied with pictures where available.

Other ideas for the newsletter editions are: Bob Childers “Walk Down Main Street”, Karen Way on membership, Gay Birchard on “5 generations of the Grover Family in the Pentwater Area”, Bruce Bates on a “Picture Quiz” of old photos, and Upcoming Events to each newsletter edition.

The committee is considering other feature articles that would be about the Charles Mears State Park, Pentwater area Native Americans and the Pentwater Township Cemetery.

The PHS board is in agreement with the committee on the current general mailing cost covering up to 6 pages and editions that would exceed this number would require the boards approval.

4. New Building Committee Report - Jim Ege advised the committee has not met.

6. Web Page Committee - No Report

7. Pentwater History Postcards - Gay Birchard provided general information received from a firm in Wyoming. Discussion by the board indicates that a number of firms have smaller minimum order quantities. Gay will select several historical pictures for the board to consider as future sales items by the society and will review with the board at the February meeting.

8. Spring Dinner - Myrna Carlin stated meal cost is about the same for similar menu items.

New Business

1. Portable Computer Hard Drive - Jim Ege reviewed the importance of having a back up plan for the numerous photos in our computerized collection. A committee will be formed to develop the requirements for a disaster recovery program and present to the board for consideration.

2. Projects - General discussion centered on setting standards for the various projects to ensure that persons performing the tasks will accurately and fully meet the project needs. Each project to have a person in charge to assist / direct persons performing a task. A suggestion was for the society to consider the purchase of a Video Picture Frame that would be used in the museum.

Old Business

1. PHS Activities Dates - Jim Ege referred to previous minutes of the planned activities dates.

Activity dates:
    Spring and Summer Dinner - May 28, 2008 & August 27, 2008.
    General Membership Meeting & 25th Year Celebration - Wednesday July 9, 2008

Other Discussion Ed Bigelow informed that Suzanne Richey is interested in finding a use for old Pentwater Bricks.

Ed Bigelow provided a copy of a 1971 Pentwater Class Photo taken in Washington, D.C. which was donated by Barb Burke to the society.

Jim Ege mentioned interviews conducted by GVSU of local C of C members which will be aired on Friday, January 11th from 9 to 11 a.m. on Station FM 95.3
